Tournaments

The Tournaments section allows venue admins to create, manage, and run competitive events with structured brackets, scoring, and results. Tournaments are designed for organized play such as leagues, cups, and competitive formats (e.g. Americano), and provide tools for participant management and live results tracking.

This page follows the same structure and principles as Events, with additional tournament-specific configuration options.

📋 Tournaments Overview

The Tournaments page lists all tournaments created at the venue, showing key details at a glance:

• Tournament name
• Status (draft / published / confirmed)
• Date & time
• Participants registered

Admins can click any tournament to open its management view.

👁 Tournament Management View

Opening a tournament shows a tab-based view with:

Tournament information

• Tournament name & description
• Creation date
• Total brackets
• Total teams & players
• List of all configured brackets
  • Format (e.g. Americano)
  • Gender category
  • Participant limits
  • Registration status
• Possibility to cancel the bracket or download a CSV File of it (Under 'Actions')
• Participants and their information. Also options to:
  • Edit participant details
  • Set player as tournament manager
    • Tournament manager can set scores for any tournament game, also outside of his own.
  • Manage player's payment
  • Replace the player
  • Remove the player from the tournament

Brackets

• Shows generated games for the tournament
• Under the bracket name there are possibilities to:
  • Add matches
  • Reset the bracket
  • Generate the bracket
  • Generate next round (Mexicano brackets only)
• Leaderboard with information
• Possibility to set scores for each match
  • Also possibility to set forfeits and start/end times
• Round progress to know which matches have or have not been played

Results

• Standings / leaderboard
• Shows data about the tournament, per player
  • Ranking
  • Points won
  • Matches played
  • Matches won
  • Matches lost
  • Draws

Settings

Under settings tab admins can reconfigure the tournament. Be careful when changing crucial information as the schedule or tournament fees, as the players will not be automatically notified. Note that players who have already paid the participation fee will not have to pay again.

➕ Creating a Tournament

Click “Create tournament” to open the tournament setup flow. The flow consists of three steps:

⏱ Step 1: Time and Location

This step defines when and where the tournament takes place.

Required & optional fields

• Sport type
• Link to external venue
  • Used for cross-venue tournaments

  • Mainly used if the tournament is not held at your venue

    • Recurring tournaments can be set to recur every X weeks for X times.
    • For example: Creating a recurring event for 1 week 4 times creates four events on the same weekday to the same timeslot

    • Example: One hour before event
• Reminder notification
  • Automated reminder timing for participants

This step defines the competitive structure and pricing.

Tournament details

Brackets

Each tournament must have at least one bracket. You can add multiple brackets if needed.

For each bracket, configure:

• Bracket name
  • Example: Mixed A1, Women B1, Men C2
• Format
  • Americano
  • Team americano
  • Mexicano
  • Team mexicano
  • Single elimination
  • Double elimination
  • Round robin

• Gender
  • Open / Men / Women / Mixed
• Game configurations
  • In americano and mexicano "points per match"
    • Most common is 32
  • In eliminations and round robin "best of X" and "Games to win a set"
• Amount of participants

    • Overall minimum & maximum participants
    • Per-court minimum (optional)

⚠️ If the minimum participant limit is not met, the tournament will be canceled

Mexicano formats

Mexicano is scored like Americano: each match has a pool of points that is shared between the players. Only the first round is drawn at random. Every later round is paired from the leaderboard, so a better result gives tougher opponents and matches stay close.

• Mexicano ranks each player individually. The 1st and 3rd ranked players play against the 2nd and 4th, the 5th and 7th against the 6th and 8th, and so on.
• Team mexicano ranks fixed pairs. The 1st ranked team plays the 2nd, the 3rd plays the 4th, and so on. Set Players per team to 2 or more.

Placement matches

Generate placement matches up to X place is shown for Single elimination and Double elimination. Losing teams keep playing for their final ranking instead of being knocked out. Enter 3 for a 3rd/4th place match, or a higher number such as 7, 15 or 31 to play the places below it. Each placement bracket is shown separately in the Brackets tab.

In double elimination the losers' final decides third place, so 3 adds no placement matches there. Use a higher number to play for 5th place and below.

The setting is applied when the bracket matches are generated. To change it for a bracket that already has matches, reset the bracket and generate it again.

A team that gets a bye advances without playing, so it does not enter the placement brackets. Bye matches are also left out of the match counters.

👥 Step 3: Participants

This step controls visibility and participant access.

Tournament visibility

• Public
  • Visible on venue profile and via share link
• Unlisted
  • Hidden from profile, accessible via link
• Private
  • Hidden from the profile and not reachable by link. Staff add the participants.
• Members only
  • Visible only to holders of the memberships you choose, and only they can register

Players who are entered in one of the tournament's brackets keep access to it whatever the visibility is.

Allowed memberships

Choosing Members only shows the Allowed memberships picker. Select the memberships that unlock the tournament, or leave it empty to allow any membership recognised at this venue.

A player without a qualifying membership does not see the tournament in the venue's list, in the home feed or in search, the share link gives them a not-found page, and they cannot register. You can still add them by hand. A player who registers and whose membership later lapses keeps their place.

Click Create tournament to publish the tournament.

🏆 Running a Tournament

Once participants are added and registration is complete:

• Brackets generate rounds and matches automatically
• Each round displays:
  • Matchups
  • Assigned players
  • Match status (Not started / Ongoing / Completed)
• A live leaderboard updates based on results

Players can:

• Set scores for their own matches via mobile app or browser
• See the leaderboards

👑 You can assign one player as the tournament manager. This player can set scores for each match played.

Admins can:

• Start and manage matches
• Set scores
• Track progress per round

Running a Mexicano bracket

A Mexicano bracket has no fixed number of rounds. The next round is drawn from the leaderboard once every match of the last round has a result. Rounds keep coming until the booked court time of the bracket ends.

Players who do not fill a court sit the round out. The round lists them as Sitting out. Sit-outs are shared evenly: the players with the fewest sit-outs so far keep playing.

To draw a round yourself, open the bracket's actions and choose Generate next round. Every match of the last round needs a result first.

Correcting a result also re-draws the rounds after it. If a later round already has results, the older result can no longer be changed. Players cannot correct their own Mexicano results, so venue staff enter the correction.

📥 Exporting Participants

You can export all participants from a tournament as a CSV file. The export covers all brackets in the tournament.

1. Find the tournament in the Tournaments list.
2. Open its Actions menu (the button next to the tournament name).
3. Choose "Download participants as CSV".
4. The file downloads automatically.

The CSV includes one row per participant with the following columns:

This is separate from the per-bracket CSV available under each bracket's Actions dropdown inside the tournament management view.

❌ Canceling and Deleting a Tournament

Canceling

You can cancel a tournament from its Actions menu at any time before it has already been canceled.

1. Open the tournament you want to cancel.
2. Click the Actions button and select Cancel tournament.
3. In the modal, choose how to handle refunds for participants who have already paid:
   • Handle automatically via Thril — follows Thril's standard rules (original payment method if eligible, otherwise credits).
   • Via original payment method — refunds via Stripe for payments made online through the platform.
   • Refund as credits — issues refunds as venue credits to each participant.
   • Handle manually — settle refunds outside Thril (cash, benefit, etc.).
   • No refund — do not issue a refund.
4. Optionally enter a Cancellation message to include in the notification sent to all registered participants.
5. Click Cancel tournament to confirm.

Participants are notified by email. The tournament status changes to Canceled.

Deleting

Once a tournament is canceled, a Delete tournament option appears in its Actions menu.

⚠️ Deletion is permanent and cannot be undone.

1. Open the canceled tournament.
2. Click Actions and select Delete tournament.
3. Confirm the deletion.

You are redirected back to the Tournaments list after deletion.
