Pro Shop
Sell merchandise and accessories, offer equipment rentals, and add booking extras like rackets and balls, turning everyday front-desk sales into a real revenue stream.
The Pro Shop is where your venue sells the physical side of the experience: the merchandise people take home, the gear they rent for an hour, and the little extras they add when they book a court. It is an easy way to lift revenue per visit without much extra work, and everything ties back to the customer's profile and payment history automatically.
Every product you create, whether it is a t-shirt or a rental racket, lives in the same Pro Shop catalog. What sets products apart is their product type and, for products with variants, whether a variant is marked as an additional service.
Two product types: Pro Shop product and Rental product
When you create a product, the first choice is its type. This decides which fields the rest of the form shows.
- Pro Shop product is a standalone retail item: something a customer buys on its own, like a water bottle, a grip, or a club shirt. It supports multiple variants, for example sizes or colours.
- Rental product is equipment the customer rents, such as a racket or a set of skis. A rental product does not use variants; instead it exposes rental-specific fields directly.
For a rental product you can set:
- A rental takes. Choose Items for equipment you count, and set Rental item stock amount so you never rent out more rackets than you own. Leave it empty for unlimited. Choose Time on a resource for a space such as a sauna, and pick the Resource. See Rentals that book a resource.
- Rental time. When the item is reserved. By default it is During the booking. Choose A time I choose when the item is used before or after the booking, and set when the rental time starts and ends relative to the booking. Stock is checked against this time. A sauna set to start when the booking ends and end 120 min after it is free for others during the booking, and a 17–19 booking holds it from 19 to 21. Changing the booking's time or length moves the rental time with it. A turn that starts when the booking ends moves later when the booking gets longer.
- Rental instructions. The pickup or collection details the customer sees after purchase, for example "Collect from the front desk" or "Locker 2, code 9876".
- Where it is offered. Availability rules limit a rental item to specific sports, courts, time slots, durations and memberships, so it only appears when it makes sense. A padel racket can be offered only on padel courts, for instance.
A Pro Shop product carries a name, an optional description, a price including VAT, and a tax rate. You can add a cover image and a square image so it looks good in the shop and in list views. It can have several variants, for example sizes or colours: each variant has its own name and an optional SKU for your own stock records, and it can override the product's price, tax rate, and discounts. So one "Club t-shirt" product can offer S, M, L, and XL, with XL priced a little higher if you like.
Both product types share the same discount, employee benefit eligibility, and shop visibility options described below.
Additional services: offering products alongside a booking
Any Pro Shop product, whether it is a rental item or a standalone product with variants, can have one of its variants marked as an additional service. Marking a variant this way is what makes it suggested to customers while they are booking, rather than only being available as a standalone purchase.
For a rental product, the additional-service configuration applies to the product itself, since it has only one implicit variant. For a Pro Shop product with several variants, you choose exactly one variant to flag, for example the standard size of a ball set, and give it its own availability rules.
Availability rules restrict where an additional service is offered, by sport, court, time slot, duration and membership. Under Memberships, pick the memberships whose holders see the extra. Leave it empty to offer it to every customer. Because additional services are suggested during the booking flow, they are how you prompt a customer with "need to rent a racket?" at exactly the right moment. They can also be sold on their own, and customers can add them when viewing their booking afterwards.
Whether a variant appears in the shop and whether it can be added as an additional service are independent settings. A rental item can be hidden from the shop's product listing but still bookable as an add-on during reservation, or the other way around.
Rentals that book a resource
A rental with Time on a resource books the resource for the rental time, like a sauna turn after a simulator session. The booking:
- Shows in the calendar on the resource. Clicking it opens the reservation it belongs to.
- Keeps the resource from a second sale for the same time. On a resource with spots, each rented item takes one spot.
- Opens the resource's doors with the customer's access codes, when the resource has an access control integration.
- Follows the reservation. Changing the reservation's time or length moves the rental time, and the change is refused when the resource is taken for the new time. Cancelling the reservation frees the resource.
Rentals that book a resource are offered with reservations, not with golf tee times.
To let members book the resource on its own at other times, add a pricing rule for it with Require membership to book on. See Pricing.

What every product supports
A few things make Pro Shop products more capable than a plain price list, regardless of type:
- Applicable discounts. Attach discounts from memberships or promo codes so that, for example, members pay less. Variants can carry their own discounts that override the product's.
- Employee benefit eligibility. Mark a product as eligible for an employee benefit, the Finnish sports and culture benefit or the Swedish friskvårdsbidrag, where that applies.
- Shop visibility. Set a product to visible, hidden, or not available, which lets you stage products before launch or retire them without deleting their history. Rental products cannot be hidden: they are either visible or not available.
Pro Shop products are tied to the venue you create them in. Switch on Track stock when you want Thril to count a product. Every sale takes it out of stock, and the Inventory page shows the stock balances and records arrivals, withdrawals and inventory counts. Customers can pay for Pro Shop products with their credit balance, just like most other products.
A booking's extras follow the booking. Cancelling the booking puts the extras with Track stock on back in stock and frees any rental time. Restore reservation takes them again, and it fails when another booking has taken a rental item for that time.
Every purchase becomes an order you can follow in the orders view, with payment status, the buyer (a registered customer or a guest with their contact details), an internal staff note, and a running sales count per product. A paid order can be cancelled when you handle a return or refund.
A product's details view shows its type and, for rental products, the current stock or the booked resource, alongside a restrictions section whenever the product has an additional-service variant configured.
Handing over purchases
When a customer buys something online and picks it up at the desk, switch on Track handover in the product's settings. You then see which purchases the customer has already collected, even when someone else served them.
Each purchase of the product shows on Products → Orders. Choose Waiting for pickup in the filter to list the ones the customer hasn't collected yet. When the customer collects it:
- Search for the customer to find the purchase.
- Click Mark as handed over in the row's actions. To hand over several at once, select the rows and choose Mark as handed over from the selection menu.
The purchase shows as Handed over. Point at the badge to see when and by whom. If you marked the wrong purchase, click Undo handover in its actions.
A few things to know:
- A sale at the POS counts as handed over straight away, because the customer takes the product at the till.
- The setting applies to purchases made after you switch it on. Turning it off later leaves purchases already waiting on the list.
- A cancelled order has nothing to hand over, so it leaves the list.
Getting the most from the Pro Shop
- Match your stock to your customers. A venue full of first-timers needs rentals and beginner gear; a club of regulars may prefer branded merchandise.
- Use additional services to upsell at the moment of booking, and mention rentals in your confirmation emails too. Customers can also add rental items when viewing their booking.
- Lean on memberships and promo codes to reward loyal buyers with member pricing.
- Watch the orders and sales counts to see what sells, then promote your best products through Announcements.
All Pro Shop sales flow into the customer's payment history, so refunds and reporting live alongside everything else. See Payments and invoices for the financial side.
